1. Acceptance of Terms

By accessing or using this website, the ICOSIAM ERP portal, or any associated services, you agree to be bound by these Terms & Conditions and all applicable laws, university regulations, and Thai national law. If you do not agree, you must discontinue use immediately.

2. Eligibility & Account Access

  • Access to the ERP system is restricted to authorized students, staff, faculty, and administrators of International College, Siam University.
  • Login is available via university credentials or Google OAuth2 (Google Sign-In). By using Google Sign-In, you also agree to Google's Terms of Service and Privacy Policy.
  • You are responsible for maintaining the confidentiality of your account credentials. Sharing your account or credentials with others is strictly prohibited.
  • Unauthorized access attempts to any system, user account, or restricted data are subject to disciplinary action and may be reported to relevant authorities.

3. Session & Security Policy

  • Your login session will automatically expire after 60 minutes of inactivity. Any unsaved work will be lost upon session expiry.
  • You must log out of the system when using shared or public devices. ICOSIAM is not liable for unauthorized access resulting from failure to log out.
  • Suspicious login activity is monitored and logged. Login history is retained as part of the system audit trail.

4. Admission Process & Requirements

  • All admission applications submitted through this system are subject to a formal approval chain: Dean → Registrar → President. Approval at all three levels is required before an application is considered confirmed.
  • Annual intake is subject to a target capacity of 100 students. Submission of an application does not guarantee admission.
  • A minimum English proficiency score of 60 is required as part of the admission criteria. The university reserves the right to request additional assessment.
  • Program details, fees, and entry requirements are subject to change. Applicants are responsible for verifying the most current information with the Admissions Office.

5. Visa & Immigration Compliance

  • International students are responsible for maintaining valid immigration status throughout their enrollment. The university will support the visa application process but final compliance is the student's responsibility.
  • Visa-related documents and deadlines managed through this system are tracked and monitored. Missed deadlines will be escalated through the university's compliance workflow.

6. File Uploads & Data Submission

  • The maximum file upload size is 50 MB per file and 50 MB per request. Files exceeding these limits will be rejected.
  • You must only upload documents that are accurate, genuine, and relevant to your application or profile. Submission of fraudulent, altered, or misleading documents is a serious violation and may result in immediate rejection or expulsion.
  • Uploaded files are stored securely and are accessible only to authorized personnel.

7. Notifications & Communications

  • The system sends automated email notifications from it-icosiam@siam.edu for application updates, approvals, deadlines, and system alerts. Ensure this address is not blocked by your email provider.
  • You may be prompted to allow browser-based push notifications. Accepting push notifications is optional, but recommended for timely updates on your applications and tasks. You may revoke this permission at any time through your browser settings.
  • ICOSIAM may send communications related to orientation, academic surveys, examination schedules, and other official university matters.

8. Audit Trail & Record Keeping

  • All actions performed within the ERP system — including creation, modification, and deletion of records — are automatically logged and retained as part of a full audit history. This applies even when records are deleted.
  • Audit records are retained for 365 days and may be reviewed by authorized administrators for compliance, dispute resolution, or regulatory purposes.
  • All system times are recorded in the Asia/Bangkok (ICT, UTC+7) time zone.

9. Academic, Examination & Survey Records

  • Academic records, exam session data, and program information managed through this system are official university records. Tampering with or falsifying academic records is a disciplinary offense.
  • Annual academic surveys are conducted in May each year. Participation may be required as part of university quality assurance processes.

10. Medical & Health Information

Any medical information submitted through this system is treated as sensitive personal data. It is accessible only to authorized health and administrative staff. You consent to the collection and use of this data for health management and emergency response purposes within the university.

11. Student & Staff Data Privacy

  • Personal data collected through this system is processed in accordance with Thai personal data protection principles and the university's data governance policy.
  • Data is used solely for academic administration, student services, reporting, and compliance purposes. It is not sold to or shared with third parties except as required by law.
  • You have the right to request correction of inaccurate personal data by contacting it-icosiam@siam.edu.

12. Career Services

Online career application services are currently in preparation and will be available soon. Any external career application links provided are for informational purposes only; the university is not responsible for third-party recruitment processes.

13. Intellectual Property

All logos, branding, text, graphics, system interfaces, and website materials are owned by or licensed to Siam University and related entities unless otherwise stated. Unauthorized copying, scraping, modification, or redistribution of any system content is prohibited.

14. External Links

This website may include third-party links (including Google OAuth2 and external reference sites) for convenience. We are not responsible for the content, policies, or practices of external sites.

15. Limitation of Liability

While we strive to keep information accurate and services available, the system is provided on an "as is" basis. The university is not liable for indirect or consequential loss arising from system use, service interruption, session expiry, data submission errors, or reliance on outdated information.

16. Policy Updates

We may revise these Terms & Conditions from time to time to reflect system changes, regulatory requirements, or university policy updates. Continued use of the system after updates constitutes acceptance of the revised terms. Significant changes will be communicated via system notification or email.
